About the Role

As an Executive Assistant, Enterprise Portfolio & Program Management, you will be responsible for providing high-level administrative support to our leadership team, ensuring the seamless execution of our strategic initiatives, and contributing to the overall success of our organization. Key Responsibilities

  • Provide high-level administrative support to the leadership team of the Enterprise Portfolio & Program Management team, including managing complex calendars, scheduling meetings and appointments, and coordinating travel arrangements.
  • Prepare and distribute meeting agendas, presentations, and other materials as needed, ensuring timely and effective communication among team members and stakeholders.
  • Act as a point of contact for the team, screening and directing calls and emails to the appropriate individuals, and maintaining confidentiality and discretion when handling sensitive information and communications.
  • Assist with project management tasks, such as creating and updating project plans, tracking progress, and identifying areas for improvement.
  • Handle expense reports and reimbursements for the team, ensuring accuracy and timely submission, and collaborate with cross-functional teams to support the successful execution of strategic initiatives.
  • Take initiative to identify and implement process improvements to increase efficiency and productivity within the team, and communicate effectively and professionally with all levels of the organization.
  • Serve as a liaison between the team and other departments within the company, and handle ad-hoc projects and tasks as needed to support the team's goals and objectives.
  • Maintain a positive and professional demeanor while working in a fast-paced and dynamic environment, and demonstrate a strong understanding of the company's goals and values, actively working towards achieving them.

Essential Qualifications

To be successful in this role, you will need to possess the following essential qualifications:

  • A minimum of 5 years of experience as an Executive Assistant or in a similar administrative role, preferably in a fast-paced and dynamic environment.
  • Proven track record of providing high-level administrative support to senior leaders, including calendar management, travel coordination, and expense reporting.
  • Excellent communication and interpersonal skills, with the ability to communicate effectively and professionally with all levels of the organization.
  • Strong organizational and time management skills, with the ability to prioritize tasks, manage multiple projects, and meet deadlines in a timely and efficient manner.
  • Ability to maintain confidentiality and discretion when handling sensitive information and communications, and to work independently with minimal supervision.
  • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook, and experience with project management tools and software.

Preferred Qualifications

In addition to the essential qualifications, the following preferred qualifications will be considered an asset:

  • Experience working in a remote or virtual environment, with the ability to self-motivate and work independently with minimal supervision.
  • Knowledge of project management principles and methodologies, including Agile and Scrum.
  • Experience with expense reporting and reimbursement systems, and ability to manage complex budgets and financial reports.
  • Strong analytical and problem-solving skills, with the ability to identify areas for improvement and implement process enhancements.
  • Experience working in a fast-paced and dynamic environment, with the ability to adapt to changing priorities and deadlines.
