About the position Responsibilities • Compose and/or edit letters, memos, reports, and procedures as required by the Project Manager/Project Staff. • Act as a liaison between the Project Manager/Project Staff and other departments, external contacts, and clients. • Oversee and process day-to-day administrative items such as expense reports and supply requisitions. • Assist the Project Manager/Project Staff in planning work schedules and assigning project personnel and equipment. • Assist in preparing control documents for payroll, payables, and receivable transactions. • Assist in the development of client invoices with required backup documentation. • Process vendor/subcontractor invoices for payment by verifying quantities, prices, and payment terms. • Code purchase orders, subcontractor invoices, and expenditures for cost collection. • Perform project-related research and data interpretation. • Provide client assistance to Program Managers and manage scope, schedule, and budget on small projects. • Maintain areas of technical expertise and assist with project proposals. • Conduct quality control activities and implement corrective measures for deficient work elements. • Support cost estimating and bid preparation efforts for active proposals. • Maintain records through filing, retrieval, and updating. Requirements • Three (3) to Five (5) years of relevant working experience for Level I. • Five (5) to Seven (7) years of relevant working experience for Level II. • Seven (7) or more years of relevant working experience for Level III. • High School Diploma or equivalent for Level I and II; Associate degree in Business Administration or related field for Level III. • Proficient computer skills, particularly in Microsoft Word, Excel, and Outlook. • Current driver's license with a clean driving record. Nice-to-haves • Associate degree in Business Administration, Accounting, or a related field (preferred). • Experience with computerized accounting software such as Deltek/Costpoint. • Knowledge and experience with Alaska Native cultures.
