Assistant, Travel Services Admin (Remote Opportunity)
About the position
Join Road Scholar, a leading not-for-profit organization dedicated to creating enriching educational travel experiences for over 100,000 individuals annually. As an Admin Assistant in Travel Services, you will play a crucial role in supporting our dynamic Programs team. This remote position reports directly to the Operations Manager in Travel Services and is responsible for overseeing various administrative functions within the department. Your primary duties will include managing daily assignments for team members, reviewing attendance records, and ensuring effective communication among Travel Services Coordinators, Managers, and Directors to facilitate the successful completion of daily tasks. In this fast-paced environment, you will monitor the statuses of Travel Services Coordinators using Genesys Cloud, distribute daily tasks, and send empowerment communications to participants. You will also be responsible for processing Participant Information Forms (PIF) in Salesforce, running call quality monitoring reports, and populating statistical data for department managers. Additionally, you will coordinate hotel changes for participants and manage updates to resources within systems like InRoad and Spekit. This role requires a proactive approach to administrative tasks and the ability to adapt to new systems and processes as needed. Responsibilities
Monitor Travel Services Coordinator statuses within Genesys Cloud.

Distribute Daily Tasks and Assignments to Travel Services Coordinators.

Regularly send empowerment communications and emails to Road Scholar participants.
,
Review Travel Services Coordinator attendance records and communicate absences to Travel Services management team.
,
Process Participant Information Forms (PIF) cases within Salesforce.
,
Run a variety of call quality monitoring reports including: Edit Report, Initial Call Needed Report, Multiple Gateways Report, and the Completed - No Billing Report.

Populate ad hoc Travel Service Coordinator statistical data for department managers.
,
Coordinate Pre/Post Hotel Changes for Road Scholar Participants.
,
Make updates to Travel Services Coordinator Resources within systems like InRoad and Spekit.

Manage Amadeus queue sorting and processing.
,
Other administrative tasks as assigned.
Requirements
1 year related office or administrative experience.
