Salesforce Administrator

Position Summary The Salesforce Administrator will be a key player in the initial implementation and adoption of the Salesforce constituent relationship management system across multiple departments and staff of the Foundation.The Administrator will oversee and develop the Salesforce system to ensure the best practices in constituent management and engagement. The Administrator will ensure that the Salesforce platform effectively meets business needs and will collaborate closely with stakeholders to gather requirements, design solutions, implement changes, and train staff to enhance the Foundation’s Salesforce capabilities. The Salesforce Administrator will be vital in helping the organization leverage data to achieve its goals. The Administrator will extract data to drive decision-making and streamline internal processes. Additionally, the Salesforce Administrator will work with all departments within the organization to develop and generate reports and dashboards, perform routine maintenance and data cleaning, and manage data integrations between Salesforce and related applications, . Key Responsibilities • Serve as main point of contact and lead Administrator for the Foundation’s Salesforce system. • Oversee all functions of Salesforce database management, including constituent data, applications, and program tracking. • Manage all aspects of user and license management, including new user setup/deactivation, roles, profiles, permission sets, and public groups. • Perform Salesforce configuration changes, including but not limited to custom object and field creation, flows, approval processes, dynamic actions, page layouts, record types, custom settings, and reports/dashboards. • Identify and gather requirements, translating them into industry best practices, and create scalable solutions within Salesforce and related tools. • Conduct proactive system maintenance, including security reviews, release updates, and health checks. • Perform routine data management to improve Salesforce data quality, implementing rules and automation as needed. Assist in mass data updates to Salesforce using data loader or other tools. • Install, configure, update, and maintain third-party applications within Salesforce, including DocuSign, Conga, Blackthorn Events, Funraise, and others. • Conduct training sessions for users and create comprehensive documentation for essential processes. Train new users and grow the Salesforce skill set across the organization. Ensure all internal Salesforce users have adequate and up-to-date training to ensure consistency and data integrity. • Empower the teams at the Foundation to make data-driven decisions by utilizing Key Performance Indicators (KPIs) generated through Salesforce. • Continuously monitor the data system and provide feedback to implement improvements. Deliver insightful data interpretations to the departmental Vice Presidents. Collaborate with the Chief Finance & Operations Officer, Vice Presidents, and other team members to promote ongoing improvements and foster a culture of data-driven decision-making. Ensure the data management needs of a growing organization are met, identify new technologies, and maintain industry best practices, while helping to build a roadmap for future growth. • Manage Marketing Cloud for Account Engagement and adapt to departmental needs, including building lists, automation rules, engagement studio, forms, and form handlers. • Work closely with department leaders to provide guidance and a better understanding of the marketing tools by compiling data, building processes, and leveraging reports and dashboards that provide important insights. Education and Qualifications • Bachelor’s degree or equivalent professional experience. • 5+ years of experience working with Salesforce required. • Advanced knowledge of Salesforce’s Nonprofit Cloud. • Advanced knowledge of Salesforce Marketing Cloud for Account Engagement. • Proficiency with Salesforce Data Loader (or other tools like Apsons or Demandtools) • Advanced computer skills including Microsoft Office. • Familiar with AI tools to leverage Salesforce. • Proficiency and advanced Excel experience for reporting and analyzing purposes. • Thorough understanding of marketing, monitoring, and reporting with best practice knowledge and use of Marketing Cloud for Account Engagement. • Superior follow-through, organizational, and problem-solving skills. • Required Certifications: Salesforce Administrator, Advanced Administrator • Optional Certifications: Salesforce Nonprofit Cloud Consultant, Salesforce Developer. • Proficiency with Omnistudio preferred. Accountability The Salesforce Administrator reports to the Director of Digital Strategy and IT and coordinates closely with other members of the Foundation staff. Location and Schedule This is a full-time, exempt position. The Salesforce Administrator can be based in Miami or elsewhere in South Florida, with a strong commitment to spending substantial time in the Foundation’s main office located in Palmetto Bay, Florida. Occasional travel may be required.
