Job Summary

We are looking for a highly skilled and experienced Virtual Assistant to manage our administrative, customer service, and operational tasks. As a Virtual Assistant, you will be responsible for providing support with accounts receivable, accounts payable, payroll, and reporting, all utilizing online software. Your strong organizational skills, excellent communication abilities, and familiarity with the food and beverage industry will be essential in this role. You will work closely with our team members, executives, and customers to ensure that all tasks are completed efficiently and effectively.

Key Responsibilities

  • Administrative Support:
    • Manage schedules, appointments, and meetings for executives or team members, ensuring that all stakeholders are informed and up-to-date.
    • Prepare and organize documents, reports, and presentations, maintaining a high level of attention to detail and professionalism.
    • Maintain digital filing systems and databases, ensuring easy access and reference for all team members.
  • Order Coordination:
    • Assist with order processing, including entering orders into the system and coordinating with production and logistics teams to ensure timely and accurate fulfillment.
    • Monitor order status, ensuring that all customers receive their orders on time and that any issues are addressed promptly and efficiently.
    • Communicate updates to customers, providing excellent customer service and support throughout the order process.
  • Customer Service and Support:
    • Respond to customer inquiries via email, phone, or chat, providing product information, order status updates, and assistance with returns or exchanges in a professional and courteous manner.
    • Handle customer feedback, complaints, and issues efficiently and effectively, ensuring that all customers are satisfied with their experience.

  • Inventory Management:

  • Marketing and Sales Support:
    • Assist with creating marketing materials, such as social media posts, email campaigns, and promotional content, to support our sales initiatives and promote our products.
    • Support sales initiatives by preparing sales presentations, proposals, and maintaining CRM data, ensuring that all sales team members have the resources they need to succeed.
    • Provide insights and recommendations for marketing and sales strategies, ensuring that our efforts are aligned with customer needs and business objectives.
  • Research and Analysis:
    • Conduct market research and competitor analysis to support business decisions and identify opportunities for growth and improvement.

Essential Qualifications

  • Proficiency with QuickBooks and Bills.com, with experience in accounting and financial management.
  • Proven experience (1-2 years) as a virtual assistant, administrative assistant, or similar role, preferably in the food and beverage industry.
  • Familiarity with food and beverage industry operations, including order processing, inventory management, and customer service.
  • Strong organizational skills and ability to manage multiple tasks and priorities effectively, with a high level of attention to detail and accuracy.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with customers, vendors, and team members.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with relevant software applications.
