Job Summary

The Utilization Management Intake Coordinator – Medical Assistant will be responsible for facilitating the intake process for our UM program, ensuring seamless communication between patients, families, colleagues, and community-based organizations. You will gather clinical information, determine appropriate case referrals, and maintain accurate tracking databases. Your exceptional customer service skills, ability to work independently, and proficiency in MS Office Suite will make you an invaluable asset to our team.

Key Responsibilities

  • Attend and actively participate in meetings as required, collaborating with social workers and care managers to develop action plans.
  • Facilitate communication between all parties, including patients, families, colleagues, and community-based organizations, to ensure coordinated care.
  • Gather clinical information regarding cases and determine the appropriate area for referral or case assignment, including utilization management, case management, QI, and Med Review.
  • Maintain and update tracking databases to ensure accurate and timely information.
  • Prepare reports and document clear, concise notes on all actions, promoting engagement and high enrollment with members for case management to help achieve health goals.
  • Provide information regarding network providers or general program information when requested, working to identify social determinants of health impacting patients' health and general well-being.
  • Collaborate with external community-based organizations to facilitate and coordinate care under the direction of an RN Case Manager.
  • Perform other duties as assigned, demonstrating your flexibility and commitment to the team's success.

Essential Qualifications

To be considered for this exciting opportunity, you must possess the following essential qualifications:

  • High School diploma or equivalent, with an Associate's degree in Human Services, Psychology, or a related field preferred.
  • Certified Medical Manager (CMM) designation is preferred, demonstrating your expertise in medical management.
  • Minimum two (2) years of customer service/call center experience, with a minimum of one (1) year of experience in a Behavioral Health Care field preferred.
  • Experience with Medicare Advantage Utilization Management is highly desirable, as is experience working for a large healthcare insurance organization.
  • Proficiency with MS Office Suite (Word, Excel, PowerPoint, including web-based computer applications) is required, with typing skills at 40 wpm and the ability to maintain proficient speed while obtaining verbal information over the phone.

Preferred Qualifications

While not required, the following preferred qualifications will make you a more competitive candidate:

  • Experience with PCA programs or Human Services/Healthcare intake and referral is a plus.
  • Strong analytical and problem-solving skills, with the ability to think logically and make informed decisions.
  • Excellent oral and written communication skills, with the ability to communicate effectively with diverse stakeholders.
  • Highly organized and detail-oriented, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong interpersonal skills, with the ability to work collaboratively with colleagues and build strong relationships with patients, families, and community-based organizations.
