Job Goal and Responsibilities

The goal of this role is to provide administrative support to the Operations and Transportation Department, ensuring that all activities are carried out efficiently and effectively. The successful candidate will be responsible for:

  • Processing and filing all transportation/operations correspondence
  • Updating files on all personnel in the department
  • Performing secretarial duties, including answering telephone calls, taking messages, and typing reports
  • Computing mileage and bus driver compensation trip sheets
  • Typing route sheets and entering data into the computer
  • Assisting parents and schools in locating bus routes, proper bus assignment, arrival, and departure times
  • Checking invoices and processing bills for payment for the transportation department
  • Updating and preparing annual transportation (state) reports
  • Working in harmony with supervisory and peer personnel
  • Using professional information discreetly and judiciously
  • Supporting administrative and Board policies
  • Representing the school system to the community in a positive, professional way
  • Maintaining a sincere, friendly attitude toward parents and pupils to ensure effective communication
  • Ensuring real-time communications between bus drivers and the transportation office during regular route runs and co-curricular travels

Essential Qualifications

To be successful in this role, you will need:

  • A high school diploma or higher education
  • Proficiency in keyboarding and word processing
  • Working knowledge of basic office procedures and the operation of common office equipment and machines
  • A self-motivated and organized approach to work
  • A CDL license or willingness to obtain one

Preferred Qualifications

While not essential, the following qualifications are desirable:

  • Previous experience in an administrative role, preferably in an educational institution
  • Knowledge of transportation operations and logistics
  • Experience with database management and record-keeping
