Job Overview

In this critical role, you will be responsible for providing external customer support and internal support functions relative to sales. Your primary objective will be to ensure that customers receive their product orders on time and in good condition. You will also be responsible for advising customers of any potential issues with their deliveries and resolving problems promptly and efficiently. As a Customer Service Specialist, you will be the face of our company, and your excellent communication and interpersonal skills will be essential in building strong relationships with our customers and internal stakeholders.

Key Responsibilities

  • Enter and maintain accurate pricing and customer details in our systems, ensuring that all information is up-to-date and readily available.
  • Verify customer pricing and terms of sale, maintaining customer quotations, summary billing setup, and rebates in our ERP system.
  • Communicate effectively with our Sales group to ensure that customer pricing and requirements are understood and correctly input into our Price Offer Management system.
  • Input accurate customer order information into SAP, following procedures set forth by the department Manager.
  • Coordinate with our plant shipping department to provide order information and set delivery dates on a timely basis, facilitating production planning and scheduling.
  • Follow up with transportation suppliers and warehouse suppliers to ensure that orders are shipped as scheduled, and advise customers of shipping details.
  • Process returns, credits, and debits in SAP, in accordance with existing procedures.
  • Coordinate imported products via the chain order process in SAP, and orders with third-party suppliers through the third-party order process in SAP.
  • Monitor the resolution of customer problems and/or complaints resulting from incorrect pricing, non-conforming products, and other related issues.
  • Perform other duties as assigned, demonstrating your flexibility and willingness to support the team.

Qualifications and Requirements

To be successful in this role, you will need to possess a High School diploma or GED, combined with 3 to 5 years of prior experience in customer service, accounts payable, or order entry. Experience in export transportation or international business in the industrial chemical market is highly preferred, as is import/export experience. The ideal candidate will have a solid foundation in:

  • Solid communication skills, both written and verbal, with the ability to articulate complex information clearly and concisely.
  • Excellent organizational and interpersonal skills, with a proven track record of building strong relationships with customers and internal stakeholders.
  • Computer skills and proficiency with automated sales systems, including SAP and Microsoft Office (Word and Excel).
  • The ability to input data quickly and accurately, functioning effectively in a fast-paced environment.
  • The ability to perform multiple tasks under pressure, analyzing problems with minimum supervision and resolving issues promptly.
  • The ability to maintain confidential information at all times, demonstrating discretion and professionalism.

Preferred Qualifications and Skills

  • Experience with distribution or manufacturing of products, preferably multiple products, with a strong understanding of logistics and supply chain management.
  • SAP experience, with the ability to navigate and utilize the system efficiently.
  • Order to Cash experience, with a solid understanding of the entire order fulfillment process.
  • Experience with a portfolio of accounts, demonstrating the ability to manage multiple customer relationships effectively.
  • Experience in a fast-paced environment, with a proven track record of prioritizing tasks and managing competing demands.
  • Multi-tasking abilities, with the capacity to handle multiple tasks and responsibilities simultaneously.
  • Interaction with Sales and purchasing teams, with a strong understanding of the sales process and customer requirements.
  • Logistics experience, with a solid understanding of transportation management and supply chain optimization.
