As a remote front desk administrator, you will be an integral part of our team, working closely with patients, healthcare professionals, and internal departments to ensure seamless service delivery. **Key Responsibilities** As a Remote Front Desk Administrator, your primary responsibilities will include: * Welcoming patients in a virtual environment, collecting relevant information, and guiding them to the appropriate team member * Serving as the initial point of contact for patients and healthcare professionals, managing communication through phone and video calls * Administering incoming calls, providing assistance or routing inquiries to the correct personnel * Maintaining detailed logs of calls needing follow-up and alerting relevant departments during emergencies * Executing routine clerical responsibilities such as processing emails, sending faxes, and maintaining operational logs * Collaboratively managing the tracking of detox assessments, daily sessions, follow-up appointments, and intake referral sheets * Verifying insurance, referral sources, and treatment schedules * Scheduling and confirming appointments using our electronic medical record (EMR) system, while collecting and processing deductibles and co-pays in coordination with the Billing department * Overseeing patient transportation requests and monitoring related systems * Conducting bi-monthly eligibility verifications for Medicaid clients and tracking weekly attendance records * Ensuring timely requisition of blood work and urine toxicology, notifying clinical staff of any outstanding matters * Engaging in meetings to enhance your professional knowledge and skills * Implementing office opening protocols and maintaining consistent attendance * Fostering a positive workplace atmosphere and promoting the organization's image * Ensuring continuous front desk coverage by coordinating breaks and lunches * Assisting the Billing department with verification of authorizations for clients in IOP and Detox * Recording all intakes for outpatient, IOP, and detox services daily through internal systems * Completing additional tasks as assigned by management **Required Skills** To succeed in this role, you will need: * Exceptional communication and interpersonal abilities * Strong organizational skills and meticulous attention to detail * Proficiency in office software, including Microsoft Excel and EMR systems * Capacity to work independently while managing multiple tasks effectively * Problem-solving aptitude and adaptability in a dynamic environment **Qualifications** We are looking for candidates with: * Prior experience in a front desk or administrative role * Proven capability in managing patient interactions proficiently * Strong written and verbal communication skills * Ability to thrive in a remote work setting with minimal supervision * High School Diploma or equivalent is required; an Associate's degree in a related field is preferred **Career Growth Opportunities** At Workwarp, we are committed to the professional development of our team members, offering training and ongoing skill enhancement initiatives.
